# Digital Rental Inspection Software: A Better Move-In Record
Digital rental inspection software helps landlords create a clear record at move-in and retrieve it at move-out. It does not replace a careful walkthrough. It gives that walkthrough a repeatable structure, with evidence kept alongside the tenancy record.
Create a consistent inspection
Before the appointment, confirm the parties, property details, meter readings, keys, and equipment. Use the same room-by-room sequence every time: floors, walls, ceilings, fixtures, appliances, and cleanliness. Record observable facts, not vague assessments. “Three-centimetre scratch on the countertop” is more useful than “fair condition.”
Make photos part of the record
Photos support the written description; they should not stand alone in a phone album. Capture them during the inspection, attach each one to the relevant item, and label it. Both parties should review the completed record before signing. Keep the signed document, images, and delivery history together so they can be found later.
Example
At a two-bedroom apartment handover, the landlord records every room, captures an existing mark by the sink, and enters the meter readings. The tenant adds a comment before both approve the report. At move-out, the original inspection is available beside the tenancy documents, instead of being reconstructed from email attachments.
Why an integrated system matters
Templates can create inconsistent versions and separate image folders. An integrated system connects the property, tenant, agreement, inspection, documents, and history. That makes routine administration—rent receipts, notices, and annual index reviews—easier to handle as well.
HelloRento brings property, tenant, contract, inspection, signature, and document management together for French landlords. Create a complete move-in workflow before the next key handover.
